2017-07-13 Minutes FinalBoard Meeting Minutes North Jefferson County Public Library District The Clancy Library,Montana City Library and North End Services July 13,2017 Chair Jane Hamman called the regular meeting to order at 5:07 p.m.at the Elkhorn Inn Meeting Room in Montana City.In attendance were library board members Mari Jean Bellander,and Beth McNamara.Also attending were Library Director Carly Delsigne,Commissioner Bob Mullen,and Board Clerk Melody Pesta. Agenda:Jane set the agenda. Minutes:The minutes from the June meeting were deferred until the September meeting. Reports: District Library-Carly Delsigne reporting: --Jim Lewis hired as new library aide for Montana City Library.He will work 12 hours per week. --Next week an ad will be in the Boulder Monitor for a replacement library aide in Clancy. --The Jefferson County Museum has asked if the library substitutes who were interested could also work as museum substitutes until October.The board agreed the willing library substitutes could substitute in the museum until October,with library coverage taking first priority. --Progress is being made on the new check-out counter.It will be done the middle of August and might be able to be installed on a Monday so the library will not need to be closed. --Two new computers for staff are arriving this week.They are replacing computers that are over 10 years old. The new computers will determine if the ongoing Internet problems from Spectrum are the fault of the old computers or if the problem lies with Spectrum service. --There are currently 238 participants in the summer reading program.The readers are making more progress and advancing to higher levels than last year.They have to read all 40 hours before they can receive the most desirable/expensive prizes. County Commission Liaison-Commissioner Bob Mullen reporting: --Library budget meeting will be scheduled next week.Copies of the budget were distributed. --Millings were procured off the Interstate between Boulder and Basin and used on roads in the county. --The Clancy water problems continue,and the most recent test shows uranium is present in the water. The Friends of the Library Liaison-Mari Jean reported on behalf of Friends’President,Jeanne Koehne.She said the Book Cellar sales for Clancy day was $305. Clancy Day-The volunteer table is a good idea,but the people manning it needed some training.The library was very busy on this day.There were problems with Clancy Day organization,such as electrical problems and set-up time.Overall Clancy Day was very successful. Schoolhouse Foundation-No report. Building Facility &Maintenance (Clancy)-Jane reported the steps are done.The contractors are waiting 30 days while the cement cures before finishing the stonework on the steps. Budget-Jane invited all to the county commissioners library budget meeting.Jane said she will be attending the meeting. Community Meeting Room-No report. Montana State Library-No update at this time. Unfinished Business Strategic Planning-Beth said more suggestions came in.Most of these suggestions are issues that need to be addressed.Some of these were: 1)Montana City Library air conditioning is not working properly.The landlord has been contacted to repair this issue. 2)Some staff want roller shades in Clancy and others do not.The option of window tint was discussed,but Jane believes the windows may expand and contract and that adding tint may cause the windows to crack. 3)A larger,more visible “OPEN”sign was suggested for the Montana City location so people driving by can easily see if the library is open.Possibilities for resolutions is a banner as they have at Clancy.A publicity idea is to put the library on the gas station electronic scroll once per quarter. 4)Improve public relations with handouts and having people to volunteer to read for story time,such as firemen,teachers,business leaders or county commissioners.Possibly the Boulder Monitor would publish a feature story on volunteer readers.Bob suggested Bruce Binkowski,(Jefferson County Event Coordinator) could have some PR ideas for the library.Beth suggested having the Rotary Club members read for story time to increase their participation in the library and they may also have funds to contribute for specific children’s books.Bob mentioned the JLDC (Jefferson Local Development Corporation)North Jefferson Business Round Table members as a possible source of volunteer readers for story time. 5)The Internet is slow and glitchy in Clancy. 6)Improvements to website.Bob suggested Melissa Morris (website developer for Jefferson County)could help with our website development. 7)Re-organization of front entrance of Clancy Library. 8)Keep the library as it is and focus on making improvements to what we have now. The idea of using the suggestion boxes once again in the libraries,perhaps quarterly this time,was supported. Also having a place on the library website for people to make suggestions.Carly will track the suggestions and filter out the invalid ones and work to address the valid suggestions and bring others to the Board as part of her report. Jane would like to locate Bill Gruber ’s cost plan for renovation of the old gym,if anyone has a copy. MONTANA CITY LIBRARY:Carly is addressing issue with malfunctioning air conditioner.No recent complaints of interference of fuel truck with story time.Carly is working on finding someone who has the equipment,is able and willing to sand and repaint the drop boxes.Carly will investigate possible placement of OPEN sign or banner. CLANCY LIBRARY:New staff computers this week and the new counter installed by September. New Business: Mari Jean was thanked for bringing refreshments. 2017 Board Meeting Dates: Sept.14 --Clancy;Nov.9 --MT City Claims were signed.Jane adjourned the meeting at 5:55.
